Rental Policies & Terms
Rates for Condominiums
Rates do NOT include tax and cleaning fees. Monthly rates are for off season only and based on a 3 month stay. When booking daily or weekly between 1/1 and 3/16, please call the check-in office because most units rent monthly. Please note, we do not rent to singles under 25 (See below for
Age requirements) unless accompanied by parents. 1 Parent for every 3 under 25.
Rates for Beach Homes
1 Week minimum (Saturday to Saturday). A $500 cash deposit is required. Rates do NOT include tax, registration and cleaning fese. Monthly rates are for off season only and based on a 3 month stay. Please call when booking daily or weekly between 1/1 and 3/16 because most homes rent monthly. Please note beach homes rent to families only OR 1 parent to every 3 under 25 (See below for
Age requirements).
Reservations
An advance payment of $200 is required for condominiums to confirm your reservation within ten (10) days of booking. Payments can be made by Discover, MasterCard, Visa, Cash, Money Order, or Traveler's Check.
A SECURITY DEPOSIT OF $500 FOR HOUSES IS REQUIRED TO COMFIRM RESERVATIONS. DEPOSIT CHECKS MUST BE RECEIVED WITHIN 10 DAYS OF BOOKING. Security deposit will be refunded 14 days after departure.
Monthly Rental Deposit
A security deposit of $200 for condos and $500 for houses is required to confirm all monthly reservations. Deposits and Rent payments are payable by cash, personal check, cashier's check, money order or traveler's checks in US Funds. No credit cards are accepted. At check-in, the deposit automatically converts to a damage deposit and is
NOT applied to rent. Monthly guest deposits will be returned once we receive all utility bills for the rental period (This could take up to 45 days from departure).
Monthly - Must cancel as follows to insure a refund (less 10% processing fee).
Condos - Sixty (60) days prior to arrival;
Houses - Ninety (90) days prior to arrival. If you cancel within these time frames, the full advance payment/deposit will be forfeited.
All - Rentals of less than 6 months (185 nights) are subject to sales tax. Payment is due the first of each month.
Cancellations
A processing fee of 10% will be deducted from all reservation advance payments/deposits. If you must cancel or shorten your stay, notice must be given as follows to insure a refund (less 10% processing fee):
Condos - Fourteen (14) days prior to arrival
Houses - Thirty (30) days prior to arrival. If you cancel within these time frames, the full advance payment/deposit will be forfeited. Any reservations made within 14 days of arrival (30 days for houses) and are cancelled will loose their entire deposit.
NO REFUNDS FOR EARLY CHECKOUTS. CANCELLATIONS OR EARLY DEPARTURES DUE TO INCLEMENT WEATHER DO NOT WARRANT ANY REFUND OF RENT OR DEPOSIT.
Hurricanes
We will only refund unused days in the event of a
MANDATORY evacuation. Cleaning and registration fees are not refundable. No refunds will be given for nights evacuated on
MONTHLY Reservations.
Payments
All rental payments are due two (2) weeks prior to arrival. Please make payment in the form of cash, traveler's check, money order, cashier's check, Discover, Visa or MasterCard.
PERSONAL CHECKS ARE NOT ACCEPTED FOR RENTAL PAYMENTS UNLESS RECEIVED 30 DAYS PRIOR TO ARRIVAL. Rates subject to change without notice and all rentals are subject to sales tax of 9.5% or 10.6%, depending on the location.
A $25.00 Registration Fee
A fee will be charged for registration, issuing parking permits and connecting telephone service. A $25 fee for The Summit only.
A $25.00 Registration Plan Fee
A fee will be charged on every reservation. The fee is a "peace of mind protection" in case someone in the party may accidentally break something. If an accident happens, as long as the guest reports the details at check-out, we will cover the damages. The Peace of Mind Protection Plan excuses the guest from damages up to $250 as long as the damage is not willful, wanton or a result of gross negligent behavior (excludes damages by a pet). The Peace of Mind Protection Plan is in lieu of a Security Deposit and is required on each reservation. The Protection Plan does not cover fees associated with not abiding by our normal check out procedures (i.e. lost keys/pool tags/video cards or excessively dirty "trashed" units)
Cleaning Fee
IF, ON ARRIVAL, you have
ANY HOUSEKEEPING PROBLEMS, report them to the front office
IMMEDIATELY so that they may be rectified.
NO DISCOUNTS WILL BE GIVEN DUE TO HOUSEKEEPING. A one-time, end-of-stay cleaning fee will be charged in addition to the rental fee at time of check-in. Fee will vary according to size of unit. All fees are subject to sales tax.
Lost Key / Lock Out
There will be a $50.00 charge for any lost key, unreturned key or for any lockout after office hours. Lost pool tags are $20.00.
Restrictions
The maximum number of guests in a vacation rental is limited by the number of beds in a unit. All properties require a 3-night minimum for advance reservations. Most properties require a week minimum during high season periods. Weekly reservations must run from Saturday to Saturday or Sunday to Sunday. If maximum occupancy is exceeded, you may be required to check out immediately or pay an extra person charge. In either case, forfeiture of the full deposit will occur. Rental properties are to be used for residential purposes only. No weddings, banquets or commercial activities are permitted without the prior written approval of Counts-Oakes Resort Properties. Any such unauthorized use, illegal activity or disturbance of the peace will result in eviction and forfeiture of all rents and deposits. Subletting of units is strictly prohibited and is considered grounds for eviction.
Check In / Check Out
Check in time is after 4:00 PM. For those arriving after office hours, arrangements should be made by telephone prior to arrival for key pick up information. Check out time is before 10:00 a.m. Check out procedures include removing all garbage from unit, washing all dishes and returning keys to the rental office. Prior approval from management must be secured for late check-out. Otherwise, an extra days rent will be charged.
Extra Towels
Please bring extra towels for your beach use since we cannot allow linens or other furnishings to be taken out of the unit.
Pets Not Allowed
Pets are
NOT Allowed in any rental unit, unless specifically stated as a "pet friendly" unit (some restrictions may still apply). If one is found in a unit, you will be responsible for a full carpet/furniture clean, flea spray and loss of deposit.
Four (4) Plus Month Rentals
Rentals of four (4) months or longer during the winter rate period will be given priority over one, two or three month rentals.
Age
Age Policy, Since our vacation rentals cater to the family, we cannot accept reservations for vacationing students. Thus, young singles (under 25) unaccompanied by a parent will not be permitted to register, and will be subject to forfeiture of deposit. 1 parent for every 3 under 25. Should the parent not remain throughout the reservation period, eviction and forfeiture of rents and deposit paid will result. Any reservation obtained under false pretense will be subject to forfeiture of deposit and the party will not be permitted to register.
Notice
If you are evicted from the unit which you are renting for failure to abide by the rules of the condominium in which your unit is located or for any other reason, you will NOT be entitled to a refund of the rents paid in advance and the deposit and you will be responsible for damages to the unit or condominium property caused by you or your guests.
Loss / Theft
Agent assumes no responsibility for any loss or theft of guest's personal property or items left behind in units. Agent assumes no liability for theft or damage to vehicles or items left in them. There will be a charge to return any items that are left behind.
Pool Safety
As there are no lifeguards on duty, for your safety, we request you observe the posted Pool Rules, which forbid diving or jumping.
WHEN YOU BOOK YOUR RESERVATION, A UNIT WILL BE ASSIGNED, HOWEVER, NO UNIT REQUEST IS GUARANTEED. ALSO, WE DO RESERVE THE RIGHT TO CHANGE UNIT ASSIGNMENTS.
